Procedure: Content Review Workflow

Setting Review Dates

Each asset (page, block, image, etc.) in the CMS requires its owner to set a review date. The review date initiates a workflow process whereby page owners can review content frequently so that it stays as current and relevant as possible. Lamar University web policy requires that:

  • Static content, or content that mostly does not change, be reviewed once prior to each long semester and once prior to the first summer session. On assets that contain static content, set the review date for January 1, May 1, or September 1, whichever comes next.
  • Dynamic content, or content that is event-driven or date-related, be reviewed according to when the date or event expires. For example, if the content on a page pertains to an event on January 31, the review date for that page should be set for January 31, so the content owner can unpublish and delete that page on the day it becomes obsolete.

Review Workflow for Site Publishers

The asset will come up for review according to its review date. Make appropriate updates and re-publish the asset, or unpublish and delete it from the server.

Review Workflow for Site Editors/Contributors

The asset will come up for review according to its review date. Make appropriate changes to the asset and submit it to workflow, or initiate a delete workflow.
