Meeting called to order by Dr. Marquart at 10:00 a.m. and adjourned at 10:35 a.m.

Approval of Minutes from: Wed., September 5, 2018

Minutes were distributed. Craig Ness motioned to approve the minutes as written and seconded by Vicki McNeil.

 


1. Monthly Status Report Discussion (Priscilla Parsons)


Active Projects

  • Digital Signage Phase II – hold pending budget review
    • 55 digital display locations in 25 buildings (15 currently have no digital signage)
  • Learning Management System RFP
    • Migration to SaaS January 9-14 (some downtime will be required)
    • Planning for Analytics Implementation underway (timeline TBD)
  • Tableau expansion (for management dashboards and data presentation)
    • Shared data sets have been established; data refreshed from Banner as needed
    • Course Enrollment dashboard has been completed
    • Weblink available on the IRR website
    • Next Steps:  Publish additional dashboards as prioritized by executive management
  • IT Strategic Planning
    • Use EAB developed framework
    • Steering Committee with internal and external membership

    • Not all active programs are reported in this report.  Examples of projects not reported include server replacements, Oracle upgrades, Active Directory re-architecture, Degreeworks upgrade for LIT, LSCO, and LU and system patch maintenance.  IT currently has 14 projects in the project portfolio being tracked.

October is cyber security awareness month. There will be cyber security presentations by an LU Computer Science Faculty Member and an FBI Agent on October 18th, 1:00-2:30 p.m. in the Setzer Center Ballroom.

Priscilla provided an update from the previous meeting: the security review for Portfolium has been completed and project is moving forward.

 

2. Academic Computing Committee (Larry Osborne): Sri conducted a GDPR presentation at the last meeting. Meetings are the fourth Thursday of every month at 1:30. 

 



3. Vicki McNeil: Nothing to Report

 



4. Student Issues (John Ellis): Nothing to Report

 



5.Charla Pate: Distributed handout regarding the benefits of adding a feature to Formstack. Received several requests which would require an upgrade. Some forms would require multiple submissions for one form. There are only 100 user accounts right now, but adding this feature would mean adding many more users.

Craig told her to go through the procurement process (RFP) for competitive bids.

 



6. Srinivas Palanki: Wanting to implement 2 different tools from Cayuse, 424 and HR Connect, to assist with IRB submissions. These tools can provide the ability to work with IRB portals and tell you what’s missing.

The formal presentation regarding Cayuse SP software will be October 18th. It will allow us to track grants from cradle to grave.

 



7. Joe Nordgren: There was a presentation from Ad Astra Platinum last Monday. The focus was course scheduling, the use of facilities and actions we can take to trim out courses that are not needed. The vendor is assembling data and will send it within 3 or 4 weeks.


Because of SACS, we will list every degree that is offered at LU on our website. Each degree will link to its department/program website.

There will be a single website to post public information. We will also have a shadow-site called compliance assist that the public will not see and will be used for uploading all required information for SACS.

9. James Marquart: We are working with consultants to look at our entire pipeline; from prospects, applicants and enrollment to help track our students.
