Event Processing Timelines

Submission: Reservation requests submitted prior to the timeframe of the appropriate tier will not be processed until that timeframe opens and may be subject to denial. All reservation requests must be submitted no less than 14 days, 21 days if the attendance is 100 or more, prior to the planned reservation date.

Changes: Changes can be made up to 72 hours prior to the event time noted on the Confirmation.

Cancellations: Cancellations may be made at any time, however those made less than 72 hours prior may be required to pay any associated fees.

Priority Scheduling Tiers

To best meet the diverse needs of the university community and to maximize utilization of space, a priority system will be adhered to for all reservation requests. Situations not indicated will be determined by the Assistant Director of Scheduling, Operations, & Event Services.

Tier I

University Events
May book up to twelve months prior to reservation date

Complex events that impact the entire university and require coordination with the overall university calendar and extensive advanced planning.

Tier II

Registered Student Organization Events
May book up to nine months prior to reservation date

Tier III

University Department Events
May book up to six months prior to reservation date

Tier IV

Sponsored Events
May book up to three months prior to reservation date

Tier V

All Other Events
May book up to three months prior to reservation date
