Priority Scheduling


To best meet the diverse needs of the university community and to maximize utilization of the Setzer Student Center, a priority scheduling system will be adhered to for all reservation requests. The determination of priority level will be made by the Director of the Setzer Student Center.

Note that examples given are not all-inclusive. Academic classes, rehearsals, and private lessons may not be held in the Setzer Student Center.

To Request Space

Tier I

Type of Events: Complex, annual events that impact the entire university and require coordination with the overall university calendar and extensive advanced planning.

Examples:

  • New student orientations
  • Week of Welcome activities
  • Commencement events
  • Career fairs
  • Homecoming activities
  • Student Government Association meetings and elections
  • Student recruitment activities
  • Blood drives
  • Other events approved by the Director of the Setzer Student Center
  • Campus-wide events sponsored by the Cardinals Activities Board

Reservation Window Opens: No more than 1 (one) year prior to date of the event

Tier II

Type of Events: Events coordinated by Registered Student Organizations (RSO) which require substantial advanced planning or impact a large portion of the university.

Examples:

  • Major activities related to cultural month celebrations (such as Black History Month)
  • Sorority and fraternity recruitment and Greek Week
  • Superior accomplishment award ceremonies
  • Conferences
  • Similar events approved by the Director of the Setzer Student Center
  • Any Registered Student Organization meetings

Reservation Window Opens: No more than 6 (six) months prior to date of the event

Tier III

Type of Events: Professional conferences or development programs hosted by Lamar University Departments and Colleges with attendance from non-university personnel.

Notes:

  • The university department/college must be actively involved in planning and attending the event.
  • Payment for usage/staffing/rental (when applicable) will be made from a university account.

Reservation Window Opens: No more than 6 (six) months prior to date of the event

Tier IV

Type of Events: Events by groups unaffiliated with Lamar University who are hosted (co-sponsored) by a registered student organization or LU department/college.

Notes: In order for an event to be eligible for a sponsored rate, the following requirements must be met:

  • The registered student organization or LU department/college must actively participate in the event by assuming responsibility for all reservation arrangements and charges assessed through their student organization or departmental account.
  • All communications with the Event Services office must be conducted by the student organization or university department.
  • A member of the student organization or university department must be present throughout the entire event.

Reservation Window Opens: No more than 3 (three) months prior to date of the event

Tier V

Type of Events: Events hosted by non-university groups including non-profit organizations, for-profit businesses, and individuals.

Notes:

  • Requests for space by groups not affiliated with Lamar University may require additional time for a decision. An immediate response may not be the rule, as scheduling must be compatible with the university master calendar and availability space in the Setzer Student Center.
  • All non-university groups will be responsible for paying all related fees and permitting cost up front in accordance with current policy and fee schedule.
  • All non-university groups are subject to the policies of Lamar University and the TSUS.
