Catering Policies

Chartwells has exclusive catering rights at the following venues:

  • 8th Floor (Mary and John Gray Library)
  • Executive Event Space (Wayne A. Reaud Administration Building)
  • Training Rooms 113A & 113 B and The Hatchery (CICE)
  • Elvis Mason Room (Rudy Williams Building- John Gray Complex Building B)
  • Science and Technology Building

Exceptions may be made only if:

1) Chartwells declines the contract due to a scheduling conflict

2) The hosting party requests a waiver from Chartwells to use another full-service* caterer. If the cost estimate for the service is more than $250, internal groups must get competing quotes from 2 other vendors. 

Remitting Payment

Catering Fees are paid directly to Chartwells. A 50% deposit will be paid at the time the order is placed. The remaining balance is due three days prior to the event. A service fee will be added to all food and beverage totals, with the exception of cash bars.

Serving Alcoholic Beverages

Alcohol services follow the guidelines of the Texas Alcoholic Beverage Commission. Chartwells will ask to see the identification of individuals who appear to be under the age of twenty-one. Chartwells also reserves the right to refuse service. A bartender will serve all alcoholic beverages. Outside alcohol is strictly prohibited.
